How do I set up my account?

After signing up, you'll receive a welcome email with your account setup link. Follow the steps to set your password, configure your shop details, and add your first team member. You can also download the FlowCam iOS app from the App Store to start capturing vehicle intakes immediately.

How do I add team members?

There are two ways to add team members to ShopFlow:

1. Add Employees (Free): Add employees for tracking and management purposes. They appear in your system for assignment to jobs, commission tracking, and scheduling, but don't get login access to ShopFlow. Perfect for tracking technician work without paying for additional user licenses.

2. Add ShopFlow Users ($50/month each): Full users with login access to both the web platform and FlowCam iOS app. Go to Settings → Team Members and click "Add User". Enter their email address and select their role (Owner/Manager, Estimator, CSR, Technician, or Detailer). They'll receive an invitation email to set up their account and can access ShopFlow from any device.

Choose based on your needs: use free employee tracking for most technicians, and paid user accounts for those who need to create estimates, manage communications, or access the system directly.

What's the difference between Employees and Users?

Employees (Free):

Example: A shop with 10 technicians might have 2-3 paid users (manager, estimator, CSR) who handle estimates and customer communications, while tracking all 10 technicians as free employees for job assignments and commission calculations.

How do I integrate my phone number with ShopFlow?

Your ShopFlow Core subscription includes one phone number that's chosen during initial setup when the organization admin completes onboarding. This phone number provides unified communications where all calls, texts, and communications automatically attach to job records, creating a single source of truth for all customer interactions.

Once set up, your team can make and receive calls and texts directly through ShopFlow, and every communication is automatically linked to the right project. Additional phone lines can be added for $50/month each if you need separate numbers for multiple locations or departments.

How do estimates work in ShopFlow?

ShopFlow uses AI-powered damage assessment to analyze labeled photos and generate accurate repair estimates. You can create line items by panel, track estimate versions for insurance claims, and send estimates directly to customers. Our industry-leading versioning system ensures you never juggle multiple working copies—every change is tracked with a complete audit trail.

How does photo documentation work?

Photos can be uploaded via the web platform or captured using the FlowCam iOS app. FlowCam organizes photos by vehicle panel with guided checklists, ensuring complete documentation. Every photo knows its panel location with four-corner 360° coverage, dent counts, severity levels, and damage notes—all organized automatically.

How do I track commission payouts?

ShopFlow includes automated commission tracking. Set custom payout rules for PDR techs, salespeople, and office staff from Settings → Commissions. Commissions calculate automatically as jobs complete, and techs can see their earnings in real-time. No more manual calculations or payment disputes.

Can I manage multiple locations?

Yes! ShopFlow supports multi-location organizations with organization-wide visibility and location-specific workflows, pricing, and commission structures. Perfect for growing PDR businesses with multiple shops. Configure locations from Settings → Locations.

How do I handle insurance claims?

ShopFlow includes built-in insurance claim workflows with claim tracking, adjuster contacts, and supplement documentation. Better evidence and audit trails reduce back-and-forth with adjusters and speed up approvals. Supplements become documented evolution, not surprises—because evidence accumulates as damage is discovered.

What happens to my data if I cancel?

You can export all your data (projects, customers, estimates, photos) before canceling. Your access continues until the end of your current billing period. Contact support at corey@shopflowus.com if you need help exporting your data.

ShopFlow accepts all major credit cards (Visa, Mastercard, American Express, Discover) through our secure Stripe integration. You can update your payment method anytime from Settings → Billing.
